Office Administrator (AU Client-Based) – Xero Specialist

About the Role
We are looking for a highly organized and proactive Office Administrator with strong hands-on experience in Xero to support our Australian client's day-to-day business operations. This role involves managing administrative and financial tasks, maintaining accurate records, and ensuring efficient coordination between internal teams and external partners.
Key Responsibilities:
- Provide daily administrative support including calendar management, email correspondence, and data entry
- Manage financial processes in Xero, including:
- Invoicing and billing
- Bank reconciliations
- Accounts payable and receivable
- Expense tracking and reporting
- Assist with client communication via phone, email, and online platforms
- Maintain organized document and record-keeping systems
- Prepare accurate financial and business reports as needed
- Coordinate with internal teams and external stakeholders to support operational requirements
- Provide general virtual assistance to improve workflow efficiency and process organization
Qualifications
- Proven experience as an Admin VA, Office Administrator, or Administrative Assistant
- Strong working knowledge of Xero (required)
- Excellent written and verbal communication skills
- Detail-oriented with high accuracy in bookkeeping and administrative tasks
- Ability to multitask, manage priorities, and work independently
- Proficient in cloud-based tools such as Google Workspace, Microsoft Office, and CRM systems
- Strong organizational and problem-solving skills
Preferred Skills
- Experience working with Australian clients or businesses
- Background in the construction industry (advantage but not required)
- Familiarity with project management tools (Asana, Trello, , etc.)
