Overview

We are seeking a highly motivated and detail-oriented professional to join our team as an Executive Assistant & Sales/Operations Coordinator. This full-time position combines executive support, sales coordination, project management, and client communications. Sales makes up a large part of the role, with responsibilities including calls, appointment setting, lead management, and customer enquiries. The remaining responsibilities include executive assistance to the CEO, project management, and operational coordination. This position is designed as a long-term opportunity with a clear pathway to management.

Key Responsibilities

Sales & Lead Management

· Make outbound and inbound calls to leads during Sydney time (9am–8pm), including outside typical office hours.

· Treat new leads as urgent, responding immediately.

· Manage CRM accuracy at all times.

· Confidently set appointments and follow up on leads through phone, email, and chat-to-sale processes.

· Respond to all social media leads, messages, and comments in real time.

· Attend weekly sales coaching sessions to continuously improve skills.

Executive Assistant Duties

· Act as the EA to the CEO.

· Support communication with multiple stakeholders and ensure timely follow-ups.

· Provide daily end-of-shift reports.

Customer Service & Inbox Management

· Respond to existing customer enquiries promptly.

· Manage the shared email inbox and app inbox.

· Escalate issues and track resolutions.

Project Management & Operations

· Coordinate project timelines, staff schedules, and invoices.

· Upload course materials and resources.

· Schedule social media posts (content creation not required).

· Create and refine SOPs.

· Manage projects when sales activities are completed.

Qualifications

· 2+ years' experience in sales coordination, appointment setting, executive support, or customer service.

· Excellent phone manner and communication skills.

· Experience with CRM systems and accurate record keeping.

· Strong organisational skills.

· Independent worker who thrives in fast-paced environments.

Nice to Have

- Background in coaching, fitness, wellness, or lifestyle industries.

- Familiarity with online program delivery and launches.
