JOB SUMMARY
We are seeking a proactive and detail-oriented Visa & HR Engagement Coordinator to support both visa/immigration processes and HR engagement activities. This hybrid role includes guiding expats through visa applications, while also planning and executing employee engagement events. The ideal candidate is organized, people-oriented, and willing to manage both administrative and on-ground tasks.
JOB RESPONSIBILITIES/DUTIES
1. Visa & Immigration Coordination (Client-Facing):
- Act as the single POC for all visa and immigration matters for employees and expatriates.
- Manage end-to-end visa processing, including document collection, coordination with legal/visa consultants, tracking application status, and ensuring timely approvals.
- Liaise with external immigration authorities, consultants, and legal representatives to ensure compliance with immigration laws.
- Maintain up-to-date records of visa statuses, renewals, and expirations, and initiate timely actions to avoid lapses.
- Prepare and process invitation letters, employment letters, and any other required documentation for visa applications.
- Coordinate onboarding logistics for expats, including airport pick-up, temporary accommodation, and orientation.
- Provide ongoing support during the expat's assignment to ensure a smooth experience.
HR & Employee Engagement (Internal-Facing):
- Planning, organizing, and executing employee engagement activities such as team-building events, festive celebrations, wellness initiatives, and CSR activities.
Work closely with internal stakeholders to create an inclusive and engaging work environment.
Coordinate vendors, logistics, and communication for events.
- Handle on-ground support before and during events (e.g., setup, materials, coordination).
- Collect feedback and analyze the impact of engagement activities to enhance future programs.
- Support HR documentation and internal communication when needed.
JOB QUALIFICATIONS
- Bachelor's degree in Human Resources, Business Administration, International Relations, or a related field.
1–2 years of experience in visa processing, HR coordination, or a similar support role.
Knowledge of international visa processes is a strong advantage.
- Strong organizational and multitasking skills.
- Excellent communication and interpersonal skills.
- Comfortable with administrative tasks and hands-on event support.
- Proficiency in MS Office (Excel, Word, PowerPoint); experience with CRM or HRIS tools is a plus.
