Work Schedule: Monday-Friday, 8:00 AM- 5:00 PM

Project Until: March 2027.

Project Assigned: Provision of Tunnel Facilities (Part J3) DAVAO CITY BYPASS CONSTRUCTION (DCBCP)

Administrative Staff provide clerical and focus on documentation management at construction companies. You will support in whatever capacity is needed to keep operations flowing and on track. Oftentimes, this means routine office tasks and admin support in any industry might do, such as taking messages or pulling files.

Admin Staff is responsible for carrying out the following duties in accordance with Company procedures.

Responsibilities:

  1. Provide foundational knowledge on key accounting topics, including VAT and withholding tax computations.

  2. Manage the preparation and issuance of monthly billing and service invoices for DCBCP

  3. Ensure timely management of monthly billing invoices related to janitorial services, electricity, water, private car usage for expat and any related documents.

  4. Facilitate communication and coordination between the Joint Venture and the Davao Office to ensure smooth operations.

  5. Support to project management and department to ensure the smooth running of the department operations.

  6. Support to answer the telephone calls, emails and other correspondence on behalf of Project Team, diverting correspondence to other staff where appropriate.

  7. Support to undertake research as requested/directed by the Director/ Project Management.

  8. Maintain open and effective working relationships with management and colleagues.

  9. Provide full on maintaining document management control processes for all receiving letters from Joint Ventures or engineers.

  10. Provide full on document management like meeting arrangements including presentation set up and presentation materials.

  11. Provide full on the document management including typing and editing documents processing translations, creating letters/documents needed in Project and filing.

Qualities and skills required:

· Ability to speak and understand Japanese is not required but is considered an advantage.

· Minimum of 2 to 3 years of relevant experience in a similar role.

· Exhibiting professionalism to represent the company positively

· Managing time efficiently to complete multiple tasks

· Prioritizing responsibilities to ensure the most important and time-sensitive tasks get completed first

· Interacting comfortably with people holding higher and lower job titles

· Demonstrating numerical competency

· Demonstrated experience of working on confidential matters, ensuring that discretion is

exercised when dealing with sensitive information and enquiries, and to ensure that

appropriate confidentiality is always maintained

· Demonstrated proficiency in using Microsoft Outlook, Word and Excel, Power point.

· Fluent English, Tagalog and Bisaya spoken and written are required.

· Smart and professional dress and personal presentation always, acting as an ambassador on behalf of Company.

· Professional, confident, courteous and helpful manner.

· Work location: Davao City

Have experience working with a Japanese boss and within the Japanese industry.
