JOB SUMMARY

The Administrative Services Specialist will ensure smooth and efficient administrative operations at the PBSP site office. This position will handle both Human Resources and Administrative Services support roles needed by the personnel assigned at the site.

PRINCIPAL DUTIES AND RESPONSIBILITIES

A. Office Administration

  • Ensured implementation of office policies and procedures.
  • Plans and monitors office improvements, repairs and equipment/facilities maintenance.
  • Coordinates/monitors usage and schedule the vehicle.
  • Monitors/prepares operating fund requirement and identified projected fund releases.
  • Oversee day-to-day office operations and maintain a clean and organized workspace.
  • Coordinate office maintenance, including liaising with vendors and service providers.
  • Manage office supplies, equipment and inventory, ensuring availability and proper functioning.

B. Human Resources

  • Facilitates compliance of pre-employment requirements.
  • Conducts Orientation for New Hires (ONS).
  • Assist staff to comply with various HR requirements and processes.
  • Plan, recommends and coordinates staff activities.
  • Coordinate and schedule meetings, conferences and events, including venue selection, catering and logistics.
  • Provide administrative assistance to different departments, including coordination with suppliers for transmission of documents to and from the main office and other site offices.
  • Facilitate any HR and Administrative Services communication from Head Office to site employees.
  • Serves as point of contact between Head Office and site office personnel for official communication.
  • Assists in preparing and distributing internal and external communications, such as newsletters and announcements.
  • Manage documentations related to contracts, agreements ans compliance requirements.

C. Safety Requirements

  • Assigned as Safety Officer 2 of PBSP site office.
  • Will be part of the overall safety committee of PBSP
  • Communicates all occupational safety and health advisory.

Job Types: Full-time, Permanent

Pay: Php22, Php26,820.00 per month
