Job Summary:

The Sales Admin Executive is responsible for providing administrative support to the sales team, ensuring efficient operations and seamless coordination of sales activities. This role focuses on managing documentation, maintaining accurate records, and assisting in the preparation of reports and analyses to help achieve BYD Philippines' sales objectives.

As part of BYD's mission to "Cool the Earth by One Degree Celsius," this position supports the growth of sustainable transportation by ensuring smooth back-office operations for the sales department.

Key Responsibilities:

1. Administrative Support  

  - Manage sales documentation, including quotations, contracts, invoices, and reports.  

  - Coordinate and maintain sales records, ensuring accuracy and organization.

2. Sales Coordination  

  - Assist in preparing sales reports and forecasts for management review.  

  - Collaborate with the sales team to track orders, delivery schedules, and customer inquiries.

3. Customer Support Assistance  

  - Respond to customer inquiries related to sales processes, documentation, and product availability.  

  - Ensure timely communication and resolution of customer issues in coordination with the sales team.

4. Database and CRM Management  

  - Maintain and update the CRM system with accurate sales and customer data.  

  - Generate and analyze sales-related reports from the CRM system.

5. Event and Meeting Coordination  

  - Assist in organizing sales meetings, training sessions, and promotional events.  

  - Prepare meeting agendas, materials, and follow-up communications.

6. Compliance and Quality Assurance  

  - Ensure all sales processes comply with company policies and regulatory requirements.  

  - Monitor adherence to quality standards in sales documentation and reporting.

Qualifications:

  • Bachelor's degree in Business Administration, Sales, or a related field.  
  • Minimum of 2-3 years of experience in sales administration or a similar role.  
  • Strong organizational skills and attention to detail.  
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and CRM software.  
  • Excellent communication and interpersonal skills.

  • Experience in the automotive or electric vehicle (EV) industry.  

  • Knowledge of sales operations and customer relationship management.
