Job Summary

The Sales Operations Support Lead manages and improves the administrative workflow supporting residential property sales. The role oversees documentation, tracks transactions, maintains CRM records, and coordinates with multiple departments to ensure sales data and reports are accurate, timely, and compliant with internal and regulatory requirements.

Key Responsibilities

Sales Documentation & Administration

  • Supervises the team in processing reservation forms, contracts, and booking documents.
  • Reviews and organizes sales files based on company and government guidelines.
  • Handles release of sales documents (e.g., Reservation Agreements, CTS, DOAS) and processes requests for cancellations or reactivations.

Data Management & Reporting

  • Ensures accurate encoding and monitoring of sales data across CRM/ERP systems.
  • Confirms pricing, unit availability, and status updates.
  • Generates and evaluates regular sales reports and dashboards.

Process Improvement & Compliance

  • Enhances sales support procedures to improve efficiency.
  • Ensures adherence to regulatory and internal policies (HLURB/DHSUD, BIR, etc.).
  • Conducts audits to ensure data quality and compliance.

Cross-Functional Coordination

  • Serves as the primary link between Sales, Marketing, Finance, Customer Relations, Documentation, and Technical teams.
  • Supports sales events, launches, and broker-related activities.
  • Troubleshoot issues related to documentation and systems.

Team Leadership

  • Guides and coaches the Sales Operations Support team to meet service and compliance standards.
  • Monitors team performance and provides training to improve accuracy and productivity.

Qualifications

  • Bachelor's degree in Business, Marketing, Real Estate, or related field
  • 3–5 years of experience in sales operations or administrative support (real estate preferred)
  • At least 2 years in a supervisory or team lead role
  • Strong organizational, analytical, and documentation skills
  • Proficient in MS Office and CRM/ERP platforms
  • Knowledge of real estate sales processes and compliance regulations
  • Strong coordination and communication skills
  • Willing to travel or relocate; can start immediately
