We're hiring an Admin Coordinator to join our remote team on a part-time, indefinite contract. You'll play a key role in supporting our influencer/ambassador campaigns while also handling customer inquiries with care and professionalism.
Please note: While this role is remote, you must be based in the Philippines.
Shifts & Training
- Start date: 13th October 2025 (earlier possible by discussion)
- Working Hours: Afternoon to graveyard shifts
- Weekend Coverage: Occasional flexibility required depending on campaign schedules and customer queries
- Contracted Hours: 15 hours per week (part-time)
What You'll Do
Admin – Influencer & Ambassador Coordination
- Draft and customise contracts following our tiered system
- Send contracts for signature (DocuSign or similar tools)
- Track and file signed contracts in a centralised system
- Follow up on unsigned or delayed contracts
Product Fulfilment & Cost Tracking
- Coordinate product shipments to influencers and ambassadors
- Track what's been sent, when, and to whom
- Maintain detailed records of product costs linked to campaigns
Content & UGC Follow-up
- Support campaign manager in chasing UGC deliverables
- Maintain clear records of deadlines, content received, and usage rights
Performance Reporting
- Prepare monthly reports on influencer/ambassador activity
- Analyse ROI, factoring in product costs and payments
- Highlight top performers and flag underperformance
Customer Service (CSR)
- Answer customer emails (e.g., tracking, product issues, product details)
- Provide professional, empathetic responses that align with brand standards
Relationship Management
- Act as a point of contact for influencers/ambassadors post-onboarding
- Handle admin queries with professionalism and warmth
- Maintain a brand-aligned and supportive communication tone
What You Bring
- Strong written and verbal communication in English (French or other languages a plus)
- Customer service mindset – empathetic, detail-oriented, and solution-driven
- Administrative skills – contract handling, tracking, reporting
- Familiarity with DocuSign, Google/Microsoft Suite, and productivity tools
- Experience in influencer/ambassador management is a plus
- Comfortable working to KPIs, deadlines, and campaign schedules
Experience & Tools
- Experience in customer service, admin, or marketing coordination roles
- Background in influencer/brand collaborations preferred but not required
- Knowledge of reporting/analytics (Excel/Sheets)
- Bring Your Own Device: You'll need to use your own PC/laptop; we'll provide screens and peripherals
