POSITION OVERVIEW
Full-Time
The Move-In Coordinator (MC) serves as the primary point of contact for residents after lease execution through their first day of occupancy. This role ensures all pre-move-in requirements—such as payments, utility setup, inspections, and access delivery—are completed accurately and on time. The MC works closely with Leasing Coordinators, Property Managers, and Utility Coordinators to deliver a seamless and positive move-in experience.
Key Responsibilities
- Move-In Task Management
Take ownership of move-in tasks immediately after lease execution.
Follow all steps outlined in the Move-In Process SOP.
Monitor and ensure all subtasks are completed within required timelines.
- New Resident Communication
Make initial introduction via email and phone within 24 hours of task assignment.
Provide clear instructions for move-in requirements and expectations.
Maintain timely, professional, and friendly communication.
- Payment & Utility Coordination
Confirm setup of all required utilities before move-in.
Ensure collection of all move-in charges, including first month's rent and security deposit, according to market-specific requirements.
- Inspection Review & Coordination
Verify move-in inspection reports are complete and uploaded.
Work with Property Managers to resolve any outstanding issues before move-in.
- Final Move-In Execution
Deliver property access codes per market timing guidelines.
Confirm receipt of codes and readiness for move-in with the resident.
- Post-Move-In Follow-Up
Call residents after move-in to confirm satisfaction and address any immediate concerns.
Communicate unresolved issues to the Resident Coordinator.
- Documentation
Maintain accurate and thorough notes in all relevant systems.
Ensure all actions, updates, and communications are logged for visibility.
Qualifications
- Strong organizational skills and attention to detail.
- Excellent verbal and written communication abilities.
- Ability to manage multiple move-ins simultaneously in different markets.
- Knowledge of leasing processes and property management systems (preferred).
- Problem-solving mindset with a focus on customer service.
