Executive Assistant

GENERAL PURPOSE:
Responsible for providing high-level administrative and secretarial support to Executives. This includes schedule and appointment management, communication and information management, travel and project coordination and acting as a liaison between executives and various stakeholders.
DUTIES AND RESPONSIBILITIES:
On Administrative and Secretarial Support
- Responsible for efficiently organizing and coordinating the daily agendas of the Executives. This involves calendar management by scheduling meetings, appointments, and events, implementing reminder systems.
- Facilitate meeting logistics such as scheduling, preparing agendas, taking minutes and coordination of follow-up actions.
- Coordinate all aspects of business travel, such as but not limited to flight arrangements, accommodation, detailed itineraries, ground transportation and any necessary visas and travel documentation.
On Communication and Liasing Support
- Act as a central point of contact for internal/external stakeholders, including employees, clients, vendors and other business partners. This involves screening and directing phone calls, emails, responding to inquiries and other correspondence and documents on behalf of the Executives.
- Ensure that all messages are relayed accurately and promptly to maintain effective communication flow.
- Handle sensitive information with discretion and maintain confidentiality in all communication activities to protect the interests of the Executive and the organization.
On Information Management Support
- Maintain organized and easily accessible documents and databases relative to the Executive's responsibilities by creating and managing filing systems for both physical and digital files.
- Maintain strict confidentiality and discretion in handling sensitive information such as, but not limited to strategic plans and records.
- Maintain and keep detailed records of communications, meetings, and other interactions.
- Facilitate the distribution of relevant information to relevant stakeholders, both internally and externally, such as but not limited to disseminating meeting agendas, meeting minutes and other relevant documents.
Qualifications:
- Candidates must be a Bachelor's Degree holder in Office Management, Business Administration, or any related field.
- With at least 3 years of solid experience as an Executive Assistant.
- Excellent written and verbal communication skills.
- Exceptional attention to detail.
- Proficient in office software such as Microsoft Office.
- Willing to work on-site in Ortigas Center Pasig
