About the role

We are looking for a reliable and detail-oriented HR and Admin Assistant to support the day-to-day operations of the Human Resources and Administrative functions. The role involves assisting in recruitment, onboarding, employee engagement, learning and development, and HR systems management to help ensure smooth and efficient HR operations across the organization.

Job Roles and Responsibilities

Recruitment

·       Involvement in the end-to-end recruitment process.

·       Assist in the development of job descriptions by collaborating with different departments heads regarding their recruitment needs.

·       Facilitate job postings, sourcing, and initial interviews.

·       Build strong relationships by coordinating with applicants and hiring managers for interview scheduling.

·       Gather candidate information for employment background verification.

·       Draft and coordinate the approval of job offers to be extended to qualified candidates.

·       Maximize opportunities that align education, market trends, and other synergies to create pathways for sourcing highly qualified talents.

Onboarding

·       Assist new hires with their queries regarding pre-employment requirements.

·       Coordinate the arrangement and distribution of new-hire assets.

Learning and Development

·       Plan, coordinate, and update various development and assessment programs focused on employee competency and professional growth.

·       Properly utilize the ticketing tool for product enablement training of new hires and refresher sessions.

HR Tool Management

·       HRIS Tool

o   Manage HRIS tools for attendance and timekeeping purposes.

o   Create, update, and maintain employee data as necessary.

o   Utilize the system to produce HR-related reports and data as needed (e.g., attendance summaries).

·       HR Ticketing Tool

o   Respond to employee queries and service requests via the Freshservice Ticketing System.

o   Ensure adherence to established SLAs for the timely delivery of HR-related requests.

o   Support the ITSM team in system configuration and monitoring.

Timekeeping

·       Monitor and manage attendance and timekeeping through HRIS tools to ensure accuracy and compliance.

Employee Engagement

·       Support initiatives that promote employee engagement and well-being.

·       Assist in facilitating internal HR meetings and employee activities.

·       Provide support in performance management, career planning, and employee development initiatives.

HR Policies and Procedures

·       Maintain information accuracy in HR policies and procedures under the guidance of the Corporate Services Director and the Center of Excellence – Head.

Administrative Functions

·       Assist with the day-to-day operations of HR functions and administrative duties.

·       Perform other related tasks as may arise from time to time and as may be assigned.

Qualifications

·       Bachelor's degree in Psychology, Human Resource Management, Business Administration, or a related field.

·       At least 1–2 years of experience in HR, recruitment, or administration (internship experience may be considered).

·       Strong communication and interpersonal skills.

·       Proficient in Microsoft Office applications; experience with HRIS and ticketing tools (e.g., Freshservice) is an advantage.

·       Confident with his/her communication skills adequate for different employee level management.

·       Proactive and committed to improving different organizational practices.

·       Highly organized, detail-oriented, and able to handle confidential information responsibly.
