Role Overview

The Executive Assistant will work directly with both company principals, supporting their day-to-day activities while also helping prioritize and execute on strategic growth initiatives. This person must be exceptionally detail-oriented, organized, and driven, with the ability to manage multiple workflows across finance, HR, operations, and project coordination. Because the role is virtual, there will be times when the Executive Assistant is working independently with little direct interaction. For that reason, the ideal candidate is a self-starter, proactive thinker, and highly reliable executor who thrives in an environment with minimal supervision.

Key Responsibilities

  • Executive Support & Coordination
  • Manage tasks and action items delegated from leadership, ensuring follow-through and timely completion.
  • Keep leadership aligned with company priorities and strategic objectives.
  • Take detailed notes during meetings, prepare summaries, and track follow-up items.
  • Act as a gatekeeper for information flow, ensuring accurate and timely communication.

  • Finance & Administration

  • Ensure QuickBooks entries and records are accurate and up-to-date.
  • Coordinate with the CPA on bookkeeping, reporting, and compliance needs.
  • Maintain and organize all paperwork, contracts, and corporate files in the correct locations.
  • Assist in preparing reports, summaries, and documents for leadership review.

  • HR & People Support

  • Support onboarding of new hires, preparation of offer letters, and coordination of benefits or compliance items.
  • Maintain employee records and assist with HR documentation.
  • Help facilitate smooth communication across the team.

  • Strategic & Project Execution

  • Support leadership in executing growth objectives and monitoring progress.
  • Provide light project management, including reminders, task tracking, and reporting on milestones.
  • Assist with vendor coordination, document management, and software usage.

Required Skills & Experience

  • Proven experience as an Executive Assistant, Virtual Assistant, or similar role supporting senior leadership.
  • High degree of professionalism and absolute confidentiality in handling sensitive business and financial information.
  • Strong organizational skills with the ability to manage multiple priorities and meet deadlines.
  • Excellent written and verbal communication skills.

Proficiency with:

  • QuickBooks (financial coordination)
  • Google Suite (Docs, Sheets, Drive)
  • Outlook (calendar and communication management)
  • BuildOps or similar project/field management software (preferred)
