We are seeking a highly organized, proactive, and bilingual (Spanish-English) Executive Assistant to provide direct support to our leadership team. The ideal candidate will be detail-oriented, fast, and capable of managing multiple priorities in a dynamic environment. This role requires excellent communication skills in both English and Spanish, strong organizational ability, and a professional yet approachable presence.

Key Responsibilities

  • Act as the primary point of contact for the executive team, managing calendars, scheduling meetings, and coordinating travel.
  • Handle correspondence (emails, calls, voice notes, messages) in both English and Spanish with accuracy and professionalism.
  • Translate documents, communications, and conversations between Spanish and English when necessary.
  • Maintain organization of executive priorities, to-do lists, and project deadlines.
  • Prepare reports, presentations, and meeting notes as requested.
  • Support with personal and professional tasks to maximize efficiency.
  • Manage confidential information with discretion and professionalism.
  • Liaise with clients, team members, and partners, ensuring smooth communication across time zones.
  • Assist in creating and improving workflows, processes, and SOPs.

Qualifications

  • Fluent in both Spanish and English (written and spoken).
  • Proven experience as an Executive Assistant, Administrative Assistant, or in a similar support role.
  • Strong organizational and time management skills with the ability to prioritize effectively.
  • Excellent communication skills—clear, professional, and responsive.
  • Tech-savvy: proficient with productivity tools (Google Workspace / MS Office, task management apps, and communication platforms).
  • Ability to work independently, anticipate needs, and solve problems proactively.
  • High level of integrity and discretion in handling confidential information.

Preferred Skills

  • Experience working with international clients or remote teams.
  • Strong note-taking and transcription ability (including from voice notes).
  • Familiarity with CRM or project management tools (e.g., Hubspot, Asana, Trello, or similar).
