Role Overview
The Executive Assistant will provide high-level administrative support to the CEO while also handling procurement and sourcing responsibilities. This role requires excellent organizational skills, attention to detail, and strong communication abilities to effectively coordinate with international suppliers, negotiate terms, and ensure timely delivery of goods and services.
Key Responsibilities
-Executive Assistance
-Manage the CEO's schedule, meetings, and communications.
-Draft, review, and manage correspondence, reports, and presentations.
-Coordinate travel arrangements, events, and other administrative tasks.
-Serve as a primary point of contact for internal and external stakeholders.
-Procurement & Supplier Coordination
-Research, identify, and evaluate potential suppliers (local and international).
-Handle communications with overseas suppliers (email, calls, online platforms).
-Negotiate pricing, payment terms, and delivery timelines.
-Prepare purchase orders, contracts, and related procurement documentation.
-Monitor shipment schedules, customs requirements, and logistics coordination.
-Maintain a database of suppliers, products, and price comparisons.
-Ensure compliance with company procurement policies and cost-efficiency targets.
Qualifications & Skills
-Bachelor's degree in Business Administration, Supply Chain Management, or related field preferred.
-Prior experience as an Executive Assistant, Procurement Officer, or Sourcing Specialist.
-Strong knowledge of procurement processes, international trade, and supplier management.
-Excellent verbal and written communication skills (English; knowledge of other languages a plus).
-Strong negotiation and problem-solving skills.
-Highly organized with the ability to manage multiple priorities.
-Proficiency in MS Office and familiarity with procurement platforms/ERP systems preferred.
