Qualifications
- We are seeking an experienced Virtual Clinical Program Manager to join our team
- Master's or doctoral degree in either
- Social Work,
- Marriage and Family Therapy,
- Mental Health Counseling, or
- Psychology
- Proven ability to conduct thorough mental health assessments, make accurate diagnoses, and develop effective treatment plans
- Excellent interpersonal and communication skills, with the ability to establish rapport and build therapeutic relationships
- Proficiency in electronic health record (EHR) systems and computer applications
- Capacity to work collaboratively and virtually as part of a multidisciplinary team while maintaining professional boundaries and ethical standards.
Responsibilities
Team Collaboration:
- Serve as a liaison between clients, therapists, and administrative staff as needed.
- Support Clinicians in conducting client intakes.
- Coordinate daily tasks, such as organization of shared email with Psychiatrist and Mental Health Therapists.
- Collaborate effectively with other administrative staff, therapists, and the psychiatrists to support the overall clinic operations
- Foster a positive and welcoming environment for clients and staff alike
Administrative Support:
- Assist with general administrative tasks, including filing, data entry, and managing office supplies
- Help with answering phone calls, directing inquiries to the appropriate staff, and providing information to clients as needed
- Provide efficient administrative support to Psychiatrist and Mental Health Therapists
Scheduling Appointments:
- Coordinate and manage the appointment schedule for the Psychiatrist and Mental Health Therapists
- Communicate with clients to schedule, reschedule, and confirm appointments, ensuring timely and accurate information
- Handle appointment inquiries via phone, email, or in person, providing exceptional customer service to all clients
Insurance Verification and Authorization:
- Verify clients' insurance coverage and benefits prior to their appointments, ensuring accuracy and completeness of information
- Obtain insurance authorizations for therapy services as required by insurance providers
- Assist clients in understanding their insurance coverage and potential out-of-pocket expenses
Client Experience & Service
- Serve as the primary form of contact for current clients via various channels such phone calls, emails, and text messages.
- Manage day-to-day tasks related to customer service tasks related to client paperwork billing, and insurance, ensuring accuracy and consistency.
- Handle client concerns, billing questions, and feedback in a timely and professional manner and escalate as necessary.
- Support initiatives to improve client experience and implement satisfaction tracking systems.
- Provide customer service that is empathetic, responsive, and aligned with the company's values.
Client Billing, Paperwork and Insurance
- Assist with daily billing operations such as updating payment information and resolving outstanding balances.
- Coordinate accurate and timely delivery of courtesy claims submission to insurers and Superbills and billing statements to clients as needed.
- Assist with processing and maintaining necessary and accurate client paperwork, including intake forms, Superbills, and Good Faith Estimates.
- Maintain accurate records in the practice's customer relationship manager (CRM) system and electronic health records (EHR) system, and other operational systems as needed.
- Prepare and submit insurance claims for therapy services provided by the psychiatrist and mental health therapists
- Monitor and track insurance claims to ensure timely payment and follow up on any denied or pending claims
- Work collaboratively with insurance companies to resolve billing inquiries and discrepancies
- Electronic Health Records (EHR) Management:
- Maintain and update clients' electronic health records accurately and securely
- Ensure that all documentation complies with clinic policies and relevant legal and ethical standards

Compensation and Benefits
- This full-time VIRTUAL position offers a pay range of $32,500–$34,500 USD annually.
Job Type: Full-time
Pay: Php1,857, Php1,972,899.79 per year
