Bookkeeping and Inventory Officer

Part-Time | 15 hours per week |3 hours per day | 1 PM – 4 PM EST.

We are seeking a highly detail-oriented and proactive Bookkeeping and Inventory Officer to manage financial records, oversee inventory tracking, and support accurate forecasting. This role requires strong communication and collaboration with both the operations and marketing teams to ensure financials and stock levels align seamlessly with sales activities, campaigns, and overall business growth.

Key Responsibilities

Inventory Management & Forecasting

• Provide daily updates on inventory status, including low-stock alerts and real-time SKU movement.
• Accurately forecast inventory needs, factoring in sales velocity and upcoming marketing campaigns (influencer marketing, paid ads, and organic growth).
• Anticipate product shortages and recommend timely reorders.
• Support planning for new SKU expansions with data-driven projections.

Bookkeeping & Financial Management

• Maintain accurate monthly bookkeeping and financial records.
• Prepare and update profit and loss (P&L) statements, tracking payroll, expenses, affiliate payments, and bank accounts.
• Perform financial forecasting to support decision-making and growth strategies.
• Reconcile all transactions across platforms to ensure accuracy.

Collaboration & Communication

• Partner with the marketing team to align financial and inventory forecasts with ongoing and upcoming campaigns.
• Work closely with operations to streamline processes and ensure efficiency.
• Deliver clear, consistent communication with management through reports and proactive updates.
• Identify financial or inventory risks early and present effective solutions.

Tools & Platforms

• QuickBooks (accounting and bookkeeping).
• Nice to have/similar experience: TripleWhale (Shopify & ads channel analytics).
• Nice to have: WooCommerce, Shopify, or other e-commerce platforms.

Qualifications & Skills

• Minimum 3 years of bookkeeping/accounting experience, ideally within e-commerce or retail.
• Strong knowledge of inventory management and forecasting.
• Hands-on experience with QuickBooks and TripleWhale.
• Analytical mindset with strong attention to detail.
• Excellent English communication skills with the ability to provide clear daily updates.
• Highly organized, proactive, and able to work independently.

Non-Negotiable: If you do not have direct experience with TikTok E-commerce, Shopify, and inventory management, please do not apply.

Ideal Candidate: Non-Negotiable

The ideal candidate must have a strong background in E-commerce, with proven expertise in the TikTok platform (this is the top priority). Experience with Shopify and inventory management is also essential.
