The Executive Assistant provides high-level administrative support to the COO, ensuring efficient operations, effective time management, and smooth communication within and outside the organization. This role requires exceptional organizational skills, attention to detail, discretion, and the ability to handle multiple priorities in a fast-paced environment.
Key responsibilities:
Administrative Support
- Manage the executive's calendar, schedule meetings, and coordinate appointments.
- Prepare, edit, and proofread correspondence, reports, and presentations.
- Handle travel arrangements, itineraries, and expense reports.
- Maintain organized and up-to-date electronic and physical filing systems.
Communication Management
- Screen and prioritize phone calls, emails, and other communications.
- Act as a point of contact between the executive and internal/external stakeholders.
- Draft and distribute meeting agendas, minutes, and follow-up actions.
Project & Task Coordination
- Assist in planning, coordinating, and executing special projects and events.
- Conduct research, compile data, and prepare briefs for the executive.
- Track project timelines and ensure deadlines are met.
Confidentiality & Professionalism
- Handle sensitive information with discretion and maintain strict confidentiality.
- Represent the executive in a professional manner in all interactions.
Qualifications, knowledge, skills required:
Bachelor's degree in Business Administration, Management, or related field (preferred).
- Proven experience as an Executive Assistant, Administrative Assistant, or similar role.
- Strong proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and collaboration tools.
- Excellent written and verbal communication skills.
- Exceptional organizational skills and attention to detail.
- Ability to work independently, prioritize tasks, and manage time effectively.
