???? About the Role
We're a U.S.-based CPA and tax strategy firm seeking a proactive, reliable, and detail-oriented Executive Assistant to work directly with the firm owner. This is a remote position for someone in the Philippines who's looking for a long-term opportunity in a professional, fast-paced environment.

You will be instrumental in helping manage day-to-day operations, marketing activity, and client communications. If you take initiative, communicate clearly, and enjoy being organized, this role is for you.

???? Key Responsibilities

???? Email & Communication
Monitor, organize, and manage the owner's email inbox daily
Flag urgent emails and summarize action items
Respond to client emails as needed or draft replies for review
Summarize meetings and send clients a clear list of action items and deadlines
Document all key activities and communications

???? Lead Management & Follow-Up
Call old leads to schedule new appointments
Follow up with leads to confirm attendance to discovery calls and verify they watched the video
Track leads in Go High Level (GHL) and Facebook Ads dashboard
Update lead status and appointment outcomes
Follow up with no-shows and re-engage cold leads
Add new leads to Mostad newsletter list on a weekly basis

???? Marketing & Metrics
Track daily marketing performance (e.g., Facebook Ads, GHL pipeline, CPL)
Update internal reports and KPIs weekly
Review appointment setters' activity and monitor overall lead performance
Appointment setting

???? Client & Operational Support
Contact clients to collect missing documents or respond to follow-up requests
Assist with the onboarding of clients
Schedule and confirm appointments using calendar and CRM tools
Help manage projects, deadlines, and team accountability
Maintain accurate records and update CRMs (e.g., TaxDome, GHL)

???? Bookkeeping & Admin (Light Duties)
Data entry of basic financial information when needed
Organize and store digital files properly
Prepare internal documents and summaries for review

???? Tools We Use
Experience with any of these is a plus:
Go High Level (GHL)
TaxDome
Google Sheets
Zoom, Slack, and Google Workspace

???? Ideal Candidate Qualities
Excellent written and verbal English
Experience working with U.S.-based clients or executives (preferably in accounting, tax, or financial services)
Highly organized and able to work independently
Comfortable with handling metrics, follow-ups, and client communication
Can work during Philippine night shift with consistent internet and a quiet workspace

Compensation ranges from $800 to $1,200/month depending on your experience and skill set. The role starts with a 30–60 day paid trial to ensure mutual fit and performance. We also offer 13th-month pay and bonuses based on KPIs like lead follow-up, client response time, and marketing tracking accuracy. There's room to grow with the firm over time.
