
Document Controller/ Purchasing

Essential Duties and Responsibilities:
Document Management
- Maintain, organize, and safeguard all company documents—both physical and digital—including contracts, permits, correspondence, and project records.
- Ensure document confidentiality and controlled access in line with company protocols.
- Assist in the processing of permits, licenses, and other documents required by local government units or third-party organizations in relation to HRI transactions.
- Consolidate, prepare, and track documents required for internal and external use.
- Use platforms such as Google Workspace (Docs, Sheets, Drive) and Microsoft Office (Word, Excel, Outlook) for documentation, safekeeping, and communication.
Purchasing and Inventory
- Conduct canvassing and purchasing of office, marketing, or property-related supplies, tools, and equipment as approved by management.
- Coordinate with suppliers and vendors for quotations, delivery schedules, and payment requirements.
- Monitor inventory of office supplies and equipment; track usage and ensure timely replenishment.
- Keep records of purchased items and update inventory logs regularly.
- Check the condition of company equipment and coordinate necessary repairs or replacements.
Education and/or Work Experience Requirements:
- Preferably with a Bachelor's Degree in Office Administration, Business Administration, Management, or any related field.
- With at least 1 year experience in document control, records management, or a related administrative role.
- Experience in purchasing, procurement, or supply coordination is an advantage.
- Highly organized with strong attention to detail and accuracy.
- Proficient in Microsoft Office (Office, Word, Excel, Outlook) and basic document management systems.
- Good communication skills and the ability to liase with internal teams and external partners.
- Must maintain strict strict confidentiality and integrity when handling sensitive company records.
