Role Overview

We're hiring a Property Management Data Specialist to help our clients keep their rental portfolios clean, accurate, and action-ready. You'll work directly inside leading PM platforms to organise data, streamline workflows, and surface insights that support arrears management, lease renewals, maintenance, and routine inspections.

Key Responsibilities

  • Portfolio Data Management: Clean, standardise, and maintain contacts, properties, leases, keys, and supplier records.
  • PM Platform Operations: Update and optimise records within PropertyMe, Property Tree, Console Cloud, and/or IRE (Inspect Real Estate).
  • Arrears & Renewals Support: Maintain accurate rent, bond, and lease dates; prepare arrears and lease-renewal lists for PM teams.
  • Maintenance & Compliance: Track work orders, warranties, and safety/compliance fields (e.g., smoke alarms, pool compliance) for reporting.
  • Inspection Workflow: Assist with scheduling, entry/exit condition data, and follow-up tasks using IRE or native inspection tools.
  • Data Migration & QA: Import/export CSVs, dedupe records, fix mismatched fields, and run routine data quality checks.
  • Reporting & Insights: Build simple portfolio dashboards and spreadsheets in Google Sheets/Excel to highlight risks and opportunities.
  • Collaboration: Work closely with internal teams and client PMs to improve processes and document best practices.
  • Security & Compliance: Handle sensitive information with strict confidentiality and follow Rebot's data security guidelines.

What We're Looking For

  • Australian Property Management Experience (MUST-HAVE): Practical knowledge of PM operations (arrears, leases, maintenance, inspections).
  • Platform Proficiency (MUST-HAVE): Hands-on experience in at least one of: PropertyMe, Property Tree, Console Cloud, or IRE. (Candidates with multiple platforms strongly preferred.)
  • Process-Driven & Detail-Oriented: Comfortable following SOPs and hitting accuracy targets.
  • Strong Spreadsheet Skills: Confident with Google Sheets/Excel for cleaning data and building simple reports.
  • Problem-Solver: Proactive in finding and fixing data issues with minimal supervision.
  • Clear Communicator: Able to explain data changes and PM impacts in plain English to clients and teammates.
  • Nice to Have: Familiarity with CRMs used by sales/PM teams (e.g., HubSpot) and basic CSV/data import workflows.
