Parts Coordinator

We are seeking a Parts Coordinator specializing in Operations to serve as the critical interface between inventory management and the day-to-day needs of our maintenance, production, or service teams. This vital role is responsible for ensuring the seamless flow of components and supplies necessary for continuous operations. The successful candidate will manage the entire parts ordering process, from requisitioning and tracking to receiving and dispensing, directly preventing production downtime and service delays. Ultimately, the Operations-focused Parts Coordinator is essential for optimizing internal workflow efficiency, contributing significantly to cost control, and maximizing overall operational productivity.

Requirements:

• Graduate of a 2-year associate program
• Minimum of one (1) year work experience.
• Manage the entire internal ordering process by receiving parts requests from maintenance or production teams, generating purchase requisitions, and accurately issuing parts to support work orders and schedules.
• Maintain the integrity of the CMMS/ERP system by precisely recording all parts issues, returns, and transfers. Conduct daily cycle counts to confirm physical stock matches system records and ensure the parts room is organized, clean, and easily accessible.
• Serve as the primary point of contact between technical staff (technicians/engineers) and the procurement/accounting teams, communicating part availability, delivery timelines, and potential shortages that impact production schedules.
• Accurately receive and inspect incoming parts deliveries against purchase orders, identifying and documenting any discrepancies, damages, or quality issues immediately upon arrival.
• Process and track necessary parts returns, manage core exchanges, and coordinate warranty claims with vendors, ensuring proper credits are received and documentation is filed.

Key Responsibilities:

• Send delivery statuses through the messenger group chat nationwide
• Verify the delivered items to Admin/OIC at the site through messenger or call regarding its completion and if with discrepancy
• Coordinate with the service coordinator for parts concern
• Countercheck the service coordinator's endorsed Delivery Receipt and other documents
• Endorse the Delivery Receipt, Work Instruction (battery and charger), Job Order to the department's concern, and manual request form to the encoder for emergency parts requests by concerned sites
• Generate incident reports for any discrepancies and/or non-conformances that may occur during work processes.
• Perform other tasks that may be assigned by the immediate supervisor
