Parts Coordinator

We are seeking an experienced, highly motivated Parts Coordinator Team Lead to oversee and manage the entire parts inventory and logistics function. This leadership role is responsible for the performance of the parts room staff, ensuring all inventory control, purchasing, and distribution activities are executed efficiently and accurately to support continuous operations across the organization. The Team Lead serves as both a working coordinator and a supervisor, responsible for executing complex inventory management tasks, developing and implementing best practices, and training junior staff, while also acting as the primary escalation point for vendor issues, stock discrepancies, and urgent operational parts needs. Ultimately, this role is crucial for driving operational excellence, optimizing inventory investment, and mentoring the team to provide world-class support to internal maintenance and production customers.

Requirements:

• Bachelor's Degree in Business Administration, Office Administration, or any related field.
• Minimum of one (1) year work experience.
• Certification for Telephone Excellence Training.
• Manage the daily workflow of the Parts Coordinator team, including scheduling, performance management, training, and delegating tasks related to ordering, receiving, and issuing parts.
• Develop, implement, and monitor inventory control procedures (e.g., advanced cycle counting, min/max level setting, obsolescence management) to ensure 98%+ inventory accuracy and minimize capital tied up in slow-moving stock.
• Identify and implement continuous improvements within the parts and logistics processes, ensuring the efficient and effective utilization of the CMMS/ERP system for all inventory transactions.
• Act as the primary liaison between the parts department, Maintenance/Production Management, and Finance, providing detailed inventory usage reports, forecasting support, and ensuring compliance with budget goals.
• Handle complex or high-value purchase orders, negotiate pricing and terms with key vendors, and serve as the final escalation point for resolving long-standing vendor or freight discrepancies.

Key Responsibilities:

• Countercheck of RLS and DN daily pull-out parts from sites sent through the Parts Nationwide groupchat on Messenger
• Assist in checking and inspecting of returned parts, including used parts, parts for repair and evaluation, and parts in good condition
• Countercheck of received RLS from sites and updating of Good Issue vs returns monitoring based on MRI; and actual RLS and DN for daily pull-out once done checking of actual parts
• Generate incident reports for any discrepancies and/or non-conformances that may occur during work processes.
• Perform other tasks that may be assigned by the immediate supervisor.
