Parts Coordinator

We are seeking a Parts Coordinator specializing in Logistics to take full ownership of managing the movement and distribution of parts across our entire supply chain. This pivotal role ensures materials are transported efficiently and accurately from vendors to internal storage or directly to the job site/end-user by primarily handling the planning, execution, and tracking of both inbound and outbound shipments. The successful candidate will be tasked with optimizing freight costs through effective carrier selection and negotiation, managing all necessary customs documentation, and proactively resolving any transportation delays or discrepancies. Serving as the key interface between the parts management system, the warehouse team, and external logistics providers, the Parts Coordinator is essential for maintaining the integrity of the supply chain, guaranteeing on-time delivery to support critical operational schedules, and minimizing unnecessary freight and storage expenses.

Requirements:

• Has a Bachelor's Degree in Business Administration, Office Administration or any related field.
• Minimum of one (1) year work experience.
• Plan and coordinate the timely shipment of outgoing parts and manage the receipt and routing of incoming deliveries, ensuring all documentation matches the physical goods.
• Select and negotiate with freight carriers (LTL, FTL, Parcel) to optimize service level and cost. Process claims for damaged or lost goods during transit.
• Prepare, audit, and maintain all required shipping documentation, including bills of lading, customs forms, packing slips, and proofs of delivery (PODs), ensuring compliance with transport regulations.
• Monitor all inbound part shipments, providing estimated delivery times to internal stakeholders and actively expediting high-priority items to prevent project delays.
• Coordinate with the warehouse team to ensure efficient staging, storage, and retrieval of parts, considering specific logistics requirements like hazardous materials handling or temperature control.

Key Responsibilities:

• Monitor shipments/deliveries and assist on bookings for urgent parts
• Handle parts related irregularities within the assigned task
• Provide assistance related to the evaluation form on mobilization
• Perform critical tasks such as answering calls, messages, filing, and encoding
• Assist and conduct a root cause analysis on the issued CPAR for Parts and Warehouse
• Validate billings of truckers and third party logistics manpower
• Generate incident reports for any discrepancies and/or non-conformances that may occur during work processes
• Perform other tasks that may be assigned by the immediate supervisor
