Executive Assistant

- Receive and screen calls, schedule appointment, sort and review incoming documents, outsource info on various matters and items as needed, secure complete updated file of reports from various depts., drafts correspondences and other forms of communications.
- Scheduling Meetings, Taking Minutes of the Meetings and Liaising with other department heads to ensure deliverables are met.
- Taking Care of Personal Errands including but not limited to: (Personal Property Management, Collectible Items Management)
- Scheduling personal driver's itineraries and errands.
- Secure proper filing and monitoring hotel and airline bookings, medical and personal files.
- Travel arrangements for domestic and international trips, accommodation/ transfers/ tours/ hotel bookings and itinerary.
- Records of bank accounts, account officers contacts and credit cards in a highly confidential manner of filing and monitoring.
- Facilitation of company events, processing of payments relative to the events/memberships and all other activities.
- Perform a full range of secretarial duties as may be assigned from time to time.
SKILLS & QUALIFICATIONS:
- Graduate of any Bachelor's Degree, Secretarial course, or equivalent
- Minimum of three (3) years experience in a similar role
- Ability to prepare simple business presentations (optional)
- Ability to communicate in behalf of the Executive
- Technical proficiency in MS Office, MS Teams, and Zoom
- Ability to work well under pressure
- High personal responsibility and ability to multitask
- Ability to commute (Taguig, Paranaque & Makati Area)
- The Executive Secretary will be working with a very spontaneous Executive.
- The Executive Secretary must be able to organize events both planned and unplanned
- It is preferred that the executive secretary has a background in running operations, since some of the interactions with other department heads will involve business matters.
