Key Responsibilities:
· Organize, maintain, and control company documents related to procurement, logistics, regulatory compliance, and quality management.
· Ensure all trade-related documents (e.g., invoices, purchase orders, delivery receipts, import permits, FDA certificates, customs documents) are complete, accurate, and properly filed (physically and digitally).
· Maintain a structured document filing system aligned with ISO 9001:2015 quality management standards.
· Monitor the full document lifecycle — from creation, revision, approval, distribution, to archiving — ensuring version control and accessibility.
· Coordinate with internal teams (Sales, Procurement, Warehouse, Finance) to track and update documentation status for shipments and transactions.
· Ensure timely submission of documents to external partners such as customs brokers, shipping lines, and regulatory agencies (e.g., FDA, BOC, BIR).
· Assist in compiling and organizing documentation for product registration, customer audits, ISO audits, and regulatory inspections.
· Prepare and manage accreditation documents for suppliers and customers, including business permits, licenses, product certifications, and company profiles.
· Track expiration and renewal dates of critical documents (e.g., FDA LTO, CPRs, Mayor's Permit, PhilGEPS) and ensure timely renewal.
· Support internal and external audits by providing requested documents and maintaining audit-ready files.
· Safeguard confidentiality and integrity of sensitive information related to company operations and compliance.
