Job Summary

The Accounting Specialist – Accounts Payable is responsible for managing the full cycle of accounts payable operations to ensure timely, accurate, and compliant processing of vendor payments. This role plays a key part in maintaining strong supplier relationships, supporting month-end closing activities, and upholding internal controls. The ideal candidate is detail-oriented, organized, and capable of handling high volumes of transactions while meeting tight deadlines.

Key Responsibilities

Invoice & Payment Processing

Manage the end-to-end accounts payable process, including invoice receipt, verification, coding, and data entry.

Ensure timely and accurate processing of payments via cheque, online banking, or other disbursement methods.

Match invoices with purchase orders and delivery receipts to ensure proper authorization and accuracy.

Vendor & Transaction Management

Maintain accurate and up-to-date vendor records, including banking, tax, and contact information.

Handle a high volume of invoices and transactions efficiently, minimizing errors and rework.

Monitor due dates and payment cycles to avoid late fees and maintain positive vendor relationships.

Reconciliation & Issue Resolution

Reconcile vendor statements and resolve discrepancies in a timely manner.

Collaborate with internal departments such as Procurement and Receiving to resolve mismatched or disputed invoices.

Assist in identifying opportunities to improve the AP process and strengthen internal controls.

Reporting & Month-End Support

Support month-end closing activities, including preparation of AP reports, accruals, and aging schedules.

Ensure compliance with company policies, financial regulations, and audit requirements.

Provide documentation and assistance during internal or external audits.

Requirements:

Minimum 1 year of experience in an accounts payable or related accounting role

Proven experience handling large volumes of transactions

Proficiency in Microsoft Excel (e.g., pivot tables, VLOOKUP, basic formulas)

Familiarity with accounting software; experience with AutoCount is a strong advantage

Strong attention to detail and problem-solving skills

Ability to work independently and meet tight deadlines
