Overview Of Job Responsibilities
The main responsibility of the HR Admin Specialist (HR Services) is to ensure resolution of employee requests, policy queries and complaints in order to provide a high level of customer service necessary to support
the achievement of defined team and company goals. The HR Admin Officer is expected to be able to wear different hats of HR including Policy and Procedure Interpretation, Benefits, some Verification related to employee pay, PTO system support, and Coaching users on the HRIS. Your ability working with detail oriented projects is critical to the success of this posiition during US business hours.
Essential Functions And Responsibilities
HR Services
- As the first point of contact for employees, manage incoming calls, tickets, chat and emails and convey resolutions to employee questions and issues related to employment policies
and procedures, benefits, basic payroll inquiries, and other HR concerns related to employment at Harte Hanks.
- Tracks, routes and redirects escalated human resources matters to correct resources.
- Follows up with stakeholders, provide feedback and see problems through to resolution.
- Utilizes excellent customer service skills and exceed employees' expectations.
- Ensures proper recording, documentation and closure.
- Efficient and confidential processing of all data according to policy and standard procedure.
- Updates employee data if needed, and with the appropriate written authorization, and produce activity reports.
- Provides troubleshooting support to HRIS users
- Alerts senior HR Supervisor/Officer to any unresolved issues that require immediate attention
Data and Records Management
- Process new hire onboarding requirements and orientation for Manila employees.
- Completes employment records processing, which may include some data entry work, in a timely manner while ensuring accuracy and adherence to company standards.
- Efficient and confidential processing of all data according to policies and standard procedure.
- Runs ad hoc weekly and monthly reports as needed.
Required Experience, Skills And Education
- At least 2 year(s) of working experience in the related field is required for this position.
- Familiarity of United States federal and state forms is helpful (i.e. Form I-9, W-4, state tax forms, etc.).
- Previous experience working with US based companies preferred.
- Knowledge of principles, practices and standards of human resource administration preferred but not required.
- Good working knowledge of human resource information systems (HRIS).
- Ability to follow established procedures and recommend improved ones.
- Ability to understand and apply applicable laws and SPI processes for employee data.
- Ability to coordinate effectively with employees, managers, and payroll/accounting departments.
- Skill in problem solving and decision making.
- Ability to demonstrate close attention to detail.
- Excellent verbal and written English communication skills.
- Excellent customer service skills.
- Excellent follow-up skills are a must.
- Excellent data entry and organizational skills. Accuracy is a must.
- Must have the ability to work in a fast paced environment.
- Must be able to multi-task.
- Must be able work independently and must possess excellent time management skills.
- Must be willing to work on the nightshift and shifting schedule consistent with normal business hours and holiday schedule for US employees
- Must type 40+ wpm with 96% accuracy.
- Must be experienced using Microsoft Office programs.
