Brand & Executive Assistant

Core Responsibilities
1. Brand + Social Media Management Create on-brand social media content for Instagram, Pinterest, and LinkedIn using existing templates, brand guides, and creative direction Write engaging captions and hashtags that reflect Mustard Seed Haven's voice — warm, clear, faith-rooted, and design-driven Schedule, publish, and monitor posts, ensuring consistency and alignment with the content calendar Track post performance, engagement metrics, and follower growth to inform ongoing strategy Support influencer collaborations, affiliate partnerships, and outreach efforts Track and organise affiliate links in Notion or Google Sheets (including product name, link, image, commission %, and performance Build and maintain affiliate storefronts (Amazon, LTK, ShareASale, Stan Store), ensuring visuals, descriptions, and categories align with brand aesthetics
2. Systems + SOP Maintenance Keep all internal SOPs updated, accessible, and easy to follow in Notion and Document and streamline recurring workflows (content posting, affiliate updates, weekly check-ins Upload team assets and maintain proper organisation across Notion, Google Drive, and shared folders Manage brand templates, checklists, and recurring task boards to ensure smooth operations
3. Clerical + Executive Support Record, summarise, and organise meeting notes or voice memos into actionable tasks Prepare weekly payroll .csv files Assist in creating presentations, proposals, and reports Handle data entry, expense tracking, and other administrative tasks as needed Answer phone calls during working hours and manage client or partner communication with professionalism Manage Dubsado workflows and Squarespace updates
Preferred Skills & Tools Writing & Communication: Strong written English with the ability to match brand tone and messaging Design Tools: Canva, Photoshop, Adobe Creative Suite Scheduling & Social Tools: Publer, Meta Suite, Pinterest Systems & Admin: Notion, Google Workspace, Gamma app, Dubsado, Squarespace, Microsoft Word Affiliate Platforms: Amazon Influencer, LTK, ShopStyle, ShareASale (or similar Strategy: Understanding of content flow — how visuals, captions, and CTAs drive engagement and conversion
