Overview: The Visa Documentation Assistant provides expert guidance to clients throughout the visa application process, tailoring support to each client's specific needs. The VDA assists clients with gathering and preparing all required documentation, ensuring completeness and accuracy. They manage application timelines, proactively communicating with clients regularly (by email, phone, or Messenger) and providing timely updates.

Job description:

Document Management: Assist clients in gathering, preparing, and organizing all necessary documentation for their visa applications. Thoroughly review documents for completeness, and accuracy before endorsing the visa application to LIA. Maintain organized client files.

Communication and Updates: Maintain regular communication with clients via email, phone, or messaging platforms (e.g., Messenger), providing timely updates on their application status and addressing any questions or concerns they may have.

Application Processing: Manage the visa application timeline, ensuring all deadlines are met. Prepare visa applications accurately and efficiently. Track application status and proactively follow up with immigration authorities as needed.

Problem Solving: Identify potential issues or problems in the process. Inform LIA of any identified concerns with regards to documentation and other relevant issue the VDA may find during the documentation and visa application process.

Immigration Knowledge: Stay up to date with Immigration NZ operational instructions, policy guidelines, and the legislative framework governing visa applications.

Compliance: Maintain a high level of ethical conduct and confidentiality in handling client information.

Collaboration: Work closely with other team members to ensure seamless service delivery and efficient workflow management.

Presentation/Report: May be assigned occasionally in presentations or reports related to the work.

Record Keeping: Maintain accurate records of all client interactions, application details, and communication with immigration authorities.

Qualifications:

  • Bachelor's degree or higher in a related field (e.g., International Relations, Business Administration, Legal Studies) preferred. Equivalent professional experience may be considered in lieu of a degree.
  • Proven experience in visa processing, immigration services, or a related field is highly desirable.
  • Excellent written and verbal communication skills. Fluency in English is highly desirable.
  • Demonstrated ability to provide exceptional client service with a positive and empathetic approach.
  • Ability to effectively manage multiple tasks and prioritize competing deadlines.
  • Proficiency in CRM software (e.g. Actionstep or similar) and Microsoft Office Suite is a plus.
