Executive Assistant to the CEO

About the Role
The Executive Assistant (EA) provides high-level administrative support to senior executives, ensuring smooth day-to-day operations and enabling leadership to focus on strategic priorities. This role requires exceptional organizational skills, discretion, and the ability to manage multiple tasks in a fast-paced environment.
Key Responsibilities
- Calendar & Schedule Management
- Coordinate meetings, appointments, and travel arrangements
- Prioritize and resolve scheduling conflicts proactively
- Communication & Correspondence
- Draft, proofread, and manage emails, memos, and reports
- Serve as a liaison between executives and internal/external stakeholders
- Meeting & Event Coordination
- Prepare agendas, take minutes, and follow up on action items
- Organize company events, board meetings, and off-site engagements
- Document & Information Management
- Maintain confidential files and records
- Prepare presentations and reports for executive review
- Project Support
- Assist in tracking progress of strategic initiatives
- Conduct research and compile data for decision-making
- Office & Team Support
- Manage expense reports, reimbursements, and procurement
- Support onboarding and coordination for executive team members
Qualifications
- Bachelor's degree in Business Administration or related field (preferred)
- Proven experience as an Executive Assistant or similar role
- Strong proficiency in MS Office and calendar management tools
- Excellent written and verbal communication skills
- High level of discretion, professionalism, and attention to detail
- Ability to anticipate needs and work independently
- Can handle confidentiality
