Key Responsibilities:
1. Executive Support:
Provide high-level administrative support to executives, including calendar management, meeting coordination, and travel arrangements.
Prepare and organize agendas, minutes, and presentations for meetings.
2. Communication Management:
Serve as the primary point of contact between executives and internal/external stakeholders.
Manage incoming correspondence, prioritizing responses and facilitating communication flow.
3. Project Coordination:
Assist in coordinating special projects, ensuring timelines are met and resources are allocated appropriately.
Track project progress and report updates to executives, helping to identify potential challenges.
4. Document Preparation:
Draft, edit, and proofread various documents, including reports, memos, and presentations.
Maintain accurate records and filing systems, ensuring all documents are easily accessible.
5. Client and Vendor Relations:
Develop and maintain professional relationships with clients, tenants, and vendors to enhance communication and service delivery.
Coordinate meetings and events with external stakeholders as needed.
6. Financial Assistance:
- Support financial tasks, including budget tracking, invoice processing, and financial report preparation.
7. Research and Analysis:
Conduct research as needed to support decision-making and strategic initiatives.
Analyze data and provide insights to assist with project recommendations and proposals.
8. Office Management:
Oversee office supplies and inventory, ensuring that the office is well-stocked and organized.
Maintain a clean and conducive working environment for executives and their teams.
9. Confidentiality and Discretion:
Handle sensitive information with the utmost confidentiality and professionalism.
Demonstrate discretion in all communications and decision-making processes.
10. Team Collaboration:
Work collaboratively with other administrative staff and departments to ensure smooth office operations.
Participate in meetings to provide updates, share ideas, and assist in team objectives.
Qualifications:
Bachelor's degree in Business Administration, Management, or a related field is preferred.
Proven experience as an Executive Assistant or in a similar role (3-5 years), particularly in property management or real estate.
Preferred Skills:
Exceptional organizational and time management skills, with the ability to prioritize effectively.
Strong written and verbal communication skills to liaise with various stakeholders.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with property management software.
Problem-solving aptitude and attention to detail.
Strong interpersonal skills with a professional demeanor.
Working Conditions:
