Job Summary
We are seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative and operational support to senior leadership. The ideal candidate will be a trusted partner who can anticipate needs, manage complex schedules, and ensure smooth day-to-day operations of the executive office. This role requires exceptional communication skills, discretion, and the ability to thrive in a fast-paced environment.
Key Responsibilities
- Manage and maintain executive calendars, including scheduling meetings, appointments, and travel arrangements.
- Act as the primary point of contact between executives and internal/external stakeholders.
- Prepare, review, and edit correspondence, reports, and presentations.
- Coordinate and support executive meetings, including agenda preparation, minutes, and follow-up actions.
- Handle confidential information with the highest level of professionalism and discretion.
- Assist with project management, research, and preparation of briefing materials.
- Monitor and prioritize incoming communications (emails, calls, requests).
- Support expense reporting, budget tracking, and invoice processing.
- Represent executives in a professional manner, fostering positive relationships across the organization.
- Anticipate executive needs and proactively address operational or administrative challenges.
Qualifications
- Bachelor's degree in Business Administration, Communications, or related field (preferred).
- 2 to 5 years of experience as an Executive Assistant, Administrative Assistant, or similar role.
- Strong organizational and time-management skills with the ability to multitask effectively.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and collaboration tools (e.g., Teams, Zoom, Slack).
- High level of discretion, integrity, and professionalism.
- Ability to work independently and exercise sound judgment.
Preferred Skills
- Experience supporting C-level executives in a corporate environment.
- Strong problem-solving and decision-making abilities.
- Project management or event coordination experience.
- Flexibility to adapt to changing priorities and schedules.
