Job Summary:

The Admin and Leasing Assistant provides administrative and operational support to the Admin and Leasing Department. This position is responsible for assisting in the preparation and processing of lease agreements, maintaining tenant records, coordinating with contractors and tenants, and ensuring smooth day-to-day administrative operations within the property or office.

Key Responsibilities:Leasing Support:

  • Assist in the preparation, review, and processing of lease proposals, contracts, and renewals.
  • Maintain accurate and updated records of tenants, lease agreements, and payment schedules.
  • Handle inquiries from prospective tenants, provide property information, and schedule site visits.
  • Coordinate move-in and move-out procedures and ensure proper documentation.
  • Monitor compliance of tenants with lease terms and property policies.
  • Support in the collection and monitoring of rental payments and other charges.
  • Prepare monthly leasing reports and occupancy updates.

Administrative Support:

  • Provide general administrative support such as filing, documentation, and correspondence.
  • Prepare and track purchase requests, expense reports, and petty cash liquidation.
  • Coordinate with suppliers, service providers, and contractors for repairs, maintenance, and other operational needs.
  • Maintain inventory of office supplies, keys, and property materials.
  • Assist in organizing meetings, preparing minutes, and monitoring action items.
  • Ensure compliance with company policies, procedures, and relevant regulations.

Customer Relations and Coordination:

  • Serve as the first point of contact for tenants and visitors, addressing inquiries and concerns promptly and professionally.
  • Coordinate with accounting, maintenance, and security departments to ensure timely resolution of tenant requests and concerns.
  • Support in the implementation of tenant engagement programs and property-related events.

Qualifications:

  • Bachelor's degree in Business Administration, Property Management, Real Estate Management, or related field.
  • At least 1–2 years of experience in administrative or leasing work (real estate, property management, or commercial leasing preferred).
  • Excellent communication and interpersonal skills.
  • Strong organizational skills with keen attention to detail.
  • Proficient in MS Office (Word, Excel, PowerPoint) and familiar with database management.
  • Ability to handle confidential information with integrity and professionalism.
  • Can work independently and collaboratively in a fast-paced environment.
