Duties & Responsibilities

Procurement & Vendor Management

  • Vendor Contract Monitoring (TPM): Responsible for the filing and monitoring of all contracts/engagements designated for renewal within the TPM Portal.
  • Compliance Tracking: Monitor TPM status daily to ensure there are no pending endorsements or action items remaining with the IT team.
  • Purchase Order (PO) Management (Ariba): Ensure all Purchase Orders (POs) in the Ariba system are consistently monitored and submitted on time.

Financial Tracking & Compliance

  • Invoice Monitoring: Track and validate the status of all invoices, ensuring they are properly endorsed for payment.
  • Goods Receipt (GR) & Accrual Management:
  • Send the list of POs requiring Goods Receipt (GR) documentation to the relevant teams every first of the month.
  • Conduct a monthly analysis comparing the actual Goods Receipt (GR) against the corresponding invoices.
  • Ensure all accruals have corresponding GR documentation recorded in Ariba before the finance cut-off deadline.
  • Journal Entry (JE) Preparation: Prepare and provide the monthly Journal Entry (JE) template for purchase orders (POs) that require reclassification.

Required Qualifications & Skills

  • Proven experience in a finance, procurement, or accounting support role, preferably within a corporate IT department.
  • Strong familiarity with procurement platforms (e.g., Ariba) and financial concepts (GR, Accruals, Journal Entries).
  • Exceptional organizational skills and meticulous attention to detail required for tracking high volumes of contracts, POs, and invoices.
  • Proficient in Microsoft Excel for data analysis and financial template preparation.
  • Ability to enforce deadlines and coordinate financial documentation across multiple internal teams.
