Job Description:
Office Services Assistant is responsible for assisting the Office Services Section Head on her daily tasks. This role involves a wide range of clerical responsibilities, such as handling phone calls, welcoming and assisting guests, and maintaining precise inventory records for office supplies. The Office Services Assistant plays a key role in keeping the office running smoothly.
Qualifications:
- Graduate of any 4-year course
- Knowledgeable in Microsoft Office
- Time management skills
- With good verbal & written communication skills
- With pleasing personality
DUTIES AND RESPONSIBILITIES:
• Office Services Functions: Perform daily tasks related to various office services, including receptionist duties, mail handling, and other administrative functions as required.
• Guest and Visitor Reception: Greet guests, vendors, customers, job applicants, and other visitors, ensuring they are directed appropriately and arranging attendant services as necessary.
• Telephone Operations: Operate the telephone console to manage incoming calls and place outgoing local and long-distance calls.
• Inventory and Supply Management: Assist with the inventory of office supplies and assets and prepare purchase order requests as needed.
• Coordination and Support: Collaborate with other departments to fulfill requirements and address general queries related to premises and facilities.
