About the Role

We are a fast-growing U.S. freight brokerage seeking a full-time Accounts Payable (AP) Specialist to manage carrier and factoring invoices. This role requires strong attention to detail, excellent organization, and the ability to follow structured accounting workflows.

You will verify invoices, match them against transportation documents, enter bills into QuickBooks Online, and coordinate with Operations, AR, and our Bookkeeper to ensure clean, accurate financials.

This is a highly important role with long-term stability for the right candidate.

Responsibilities

Invoice Verification & Processing

  • Receive carrier and factoring invoices daily.
  • Match each invoice against:
  • TMS carrier bill
  • Rate confirmation
  • POD
  • Detention/lumper approvals
  • Identify discrepancies and coordinate with carriers/factors or internal teams.
  • Ensure zero duplicate invoices.

QuickBooks Online (QBO) Bill Entry

  • Enter verified invoices into QuickBooks with full documentation.
  • Ensure correct amounts, dates, load numbers, and vendor assignment.
  • Mark bills as "Ready for Payment" after verification.
  • Maintain accurate AP aging.

Communication & Coordination

  • Work with Operations for missing PODs, accessorial approvals, or rate issues.
  • Follow up with carriers or factoring companies for missing or corrected invoices.
  • Provide AP status updates to the accounting team.

Compliance & Controls

  • Follow strict invoice verification SOPs.
  • Ensure "No Bill, No Pay" policy is followed.
  • Maintain secure document handling.
  • Never schedule or release payments; this is handled by the owner.

Reporting

  • Maintain invoice logs daily.
  • Update AP KPIs as required.
  • Support Bookkeeper during weekly/monthly reconciliation.

Requirements

  • Experience in freight brokerage, trucking, logistics, or factoring is highly preferred.
  • Strong experience with QuickBooks Online.
  • Experience using a TMS (any system) is a plus.
  • Excellent English communication skills.
  • High attention to detail and accuracy.
  • Strong organizational skills; able to handle high-volume workflows.
  • Must be able to work U.S. business hours.
  • Must be reliable, honest, and consistent.
