Administrative Assistant – Construction Company

Position Summary

The Administrative Assistant provides essential office and project support within a construction environment. This role assists project managers, engineers, site supervisors, and office staff with administrative, scheduling, and documentation tasks. Fresh graduates with an associate or bachelor's degree are welcome to apply, and industry-specific training will be provided.

Key ResponsibilitiesGeneral Office Support

  • Answer phone calls, respond to emails, and assist visitors and clients.
  • Prepare, format, and distribute contracts, permits, reports, and project documents.
  • Maintain organized digital and physical filing systems for project records, drawings, and invoices.
  • Handle incoming and outgoing mail, packages, and courier arrangements.
  • Order and track office and site supplies.

Project & Site Support

  • Assist with preparing project schedules, meeting minutes, and daily/weekly reports.
  • Coordinate with contractors, suppliers, and clients to schedule deliveries, inspections, and meetings.
  • Update logs for materials, equipment, safety documents, and project progress.
  • Support the preparation and submission of permits, RFIs, change orders, and compliance documents.
  • Monitor and help maintain compliance with safety and regulatory documentation.

Administrative & Finance Assistance

  • Assist with invoice processing, purchase orders, and expense tracking.
  • Help with HR-related tasks such as onboarding, ID verification, and maintaining employee records.
  • Support payroll-related documentation, timesheet collection, and attendance logs.

Qualifications

  • Associate or bachelor's degree required.
  • Fresh graduates are welcome; prior experience in administration or construction is a plus but not required.
  • Basic proficiency in Microsoft Office (Word, Excel, Outlook) and willingness to learn construction-related software.
  • Strong organizational skills with a high level of attention to detail.
  • Good written and verbal communication skills.
  • Ability to multitask and work in a fast-paced environment.
  • Professional attitude, dependability, and eagerness to learn industry processes.

Preferred Skills

  • Familiarity with construction documents (blueprints, permits, submittals) is a plus.
  • Experience with project management tools (e.g., Procore, Asana, Buildertrend) is an advantage.
  • Understanding of basic accounting or procurement processes.
