Qualifications

  • Previous experience using MyBOS or similar property management/compliance systems (highly desirable).
  • Knowledge of building compliance requirements and preventative maintenance processes.
  • Strong administrative and organisational skills with exceptional attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to coordinate effectively with multiple stakeholders including committee members, owners, consultants, and internal teams.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).

Key Responsibilities

  1. Compliance & Audit Coordination

  2. Ensure all building compliance documents and certifications are current and accurately recorded.

  3. Liaise with Facility Management Consultants to track and verify preventative maintenance schedules.

  4. Maintain a compliance register for each property, ensuring timely renewals and submission of documents to the body corporate.

  5. MyBOS System Management

  6. Update and manage all property records, caretaking agreements, and compliance documentation within MyBOS.

  7. Record and monitor action items arising from meetings, audits, or inspections.

  8. Ensure checklists align with caretaking agreements and operational standards for each property.

  9. Committee & AGM Coordination

  10. Coordinate communication with committee members, including meeting reminders, AGM notices, and nomination updates.

  11. Maintain and update the committee calendar with key dates (meetings, AGMs, and nomination deadlines).
  12. Record and maintain contact details for body corporate managers and committee members.

  13. Track and update follow-up actions from committee and AGM meetings in MyBOS.

  14. Reporting & Documentation

  15. Collaborate with General Managers and Building Managers to prepare monthly Facility Management and Building Reports.

  16. Ensure all relevant reports and documentation are properly filed and shared with the respective body corporate.
  17. Monitor progress of all open items in MyBOS and follow up with responsible parties to ensure timely completion.

Job Type: Full-time

Pay: Php30, Php40,000.00 per month
