We operate with a systems-first approach: clear SOPs, modern software tools, and structured workflows that allow our Project Managers and field teams to focus on execution while operations remain clean, accurate, and scalable.

This role is critical to how we scale.

Role Summary

The Project Operations Coordinator is responsible for managing the administrative, procedural, and systems-driven components of construction projects.

This is not a field role and not a traditional construction engineering role.

You will own the how of project operations:

  • how projects are set up
  • how information flows
  • how documents are controlled
  • how costs are tracked
  • how invoices are processed
  • how schedules and logs are maintained

You will work closely with Project Managers and Site Supervisors, removing administrative burden so they can focus on decision-making and field execution.

What You Will Be Responsible ForProject Setup & Systems

  • Set up projects in Buildertrend
  • Create and maintain standardized project folders
  • Upload and manage contracts, plans, specs, and revisions
  • Ensure cost codes and budgets are correctly configured

Document & Process Control

  • Maintain RFIs, submittals, change order logs
  • Enforce file naming and version control standards
  • Track permits, inspections, and closeout documents
  • Ensure SOPs are followed consistently across projects

Cost & Admin Support

  • Match invoices to purchase orders and cost codes
  • Enter and manage bills in Ramp
  • Support accounting with job cost accuracy
  • Track committed costs, pending change orders, and variances

Schedule & Coordination

  • Update schedules in Buildertrend
  • Maintain look-ahead schedules
  • Coordinate inspection scheduling and documentation
  • Track long-lead materials and deliveries

Reporting

  • Prepare weekly project reports
  • Maintain procurement, cost, and compliance trackers
  • Support month-end close and internal reporting

What This Role Is NOT

To avoid confusion, this role:

  • Does NOT require site supervision
  • Does NOT require engineering design work
  • Does NOT involve managing subcontractors in the field
  • Is NOT a stepping stone to Project Manager
  • Is NOT focused on construction problem-solving

This role is focused on systems, accuracy, and execution of defined processes.

Preferred Background (Not Required)

  • Experience in project coordination, operations, or admin roles
  • Exposure to construction, real estate, or engineering environments
  • Experience with tools like:
  • Buildertrend, Procore, or similar
  • QuickBooks or accounting systems
  • AP / invoice processing tools
  • Google Drive / Excel / workflow tools

Engineering degrees are NOT required.

Success Metrics

  • Projects set up correctly the first time
  • No missing documents or incorrect cost codes
  • Invoices processed accurately and on time
  • Clean, consistent reporting
  • PMs and Supers spending less time on admin

Job Type: Full-time

Pay: Php50, Php60,000.00 per month
