Virtual Project Coordinator

Key Responsibilities:
- Provide executive and personal assistance, including calendar and email management, appointment scheduling, travel arrangements, and expense reporting
- Support bookkeeping, file and records management, and process creation
- Conduct research and assist with data entry, data management, and running reports (especially in NetSuite)
- Coordinate and delegate tasks to appropriate staff
- Assist with HR operations, including recruitment and onboarding support
- Manage projects using and support process improvement initiatives
- Communicate effectively via Slack, WhatsApp, text messaging, Microsoft Teams, and Zoom
- Manage LinkedIn social media presence and support basic graphic design tasks
- Maintain confidentiality and handle sensitive information with discretion
Qualifications:
- Proven experience as an executive assistant, project coordinator, or similar administrative role
- Proficient in Microsoft Suite, Google Workspace, and project management tools )
- Experience with bookkeeping, HR operations, and data entry
- Strong understanding of NetSuite (administration, running reports, saved searches) preferred
- Experience in manufacturing, distribution, supply chain, accounting, or M&A is a plus
- Excellent organizational, communication, and multitasking skills
- Ability to work independently, maintain confidentiality, and support process improvement
- Familiarity with LinkedIn and basic graphic design tools
- Must be amenable to work at night
- Must have own working asset (Computer - Atleast i5 processor and 8GB Ram; Webcam; Noise Cancelling Headset)
- Must be amenable to working with time trackers (example: Time Doctor, Hubstaff, Clockify, Team Logger)
