Overview

We are looking for a proactive and highly capable Executive & HR Assistant to support a management advisory group by overseeing both administrative and critical human resources workflows. This is a multifaceted role for someone who enjoys balancing executive-level administration with specialized HR tasks, such as client onboarding and employment document review.

The work involves managing executive communication, coordinating complex schedules, and creating professional marketing materials like PowerPoint presentations and one-page flyers. Some tasks require high-level creative execution in Canva, while others require meticulous attention to detail in document processing and project tracking. The goal is to provide seamless support that ensures both leadership and HR operations run with high accuracy and efficiency.

Key Responsibilities

Executive & Administrative Support

  • Manage leadership inboxes, monitor emails, flag urgent messages, and respond on their behalf when appropriate.
  • Coordinate scheduling and calendars, ensuring priorities and deadlines are met.
  • Support leadership with additional tasks, including research and ad hoc projects.

HR Operations & Client Onboarding

  • Facilitate a structured and professional client onboarding process.
  • Review employment documents for accuracy, compliance, and proper filing.
  • Handle sensitive HR documentation with strict confidentiality.
  • Apply HR expertise to support recruitment, personnel records, and HR lifecycle tasks.

Marketing, Design, & Content Support

  • Develop PowerPoint slides using a preferred template and accurate input.
  • Utilize Canva to create visually-appealing marketing assets that align with branding.
  • Design professional one-page flyers and other collateral to support brand messaging.
  • Ensure all outward-facing documents are visually consistent and error-free.

Operational Coordination

  • Use to manage project workflows, track tasks, and communicate progress.
  • Leverage the Microsoft Suite, especially Microsoft Teams, for internal communication and file-sharing.
  • Organize and maintain secure digital filing systems for all executive and HR documentation.

Required Qualifications

  • 3+ years in an executive support role, including HR and client onboarding.
  • Proven proficiency in Microsoft Office Suite (advanced PowerPoint and Teams skills).
  • Hands-on experience with Canva for marketing assets.
  • Demonstrated ability to manage high-volume workflows using or similar project management tools.
  • Exceptional attention to detail, especially in reviewing legal or employment-related documents.
  • Strong written and verbal communication skills for executive-level correspondence.
  • Demonstrated strong problem-solving and critical thinking skills.

Nice-to-Have (Bonus Skills)

  • Experience providing admin/ops support in a small or fast-paced company.
  • Background in marketing or brand coordination.
  • Specialized experience in HR compliance or client-facing onboarding.
  • Experience utilizing automation tools and building workflows to streamline processes.
