Our client is a US-based tax and advisory firm experiencing consistent growth and high client demand. This firm specializes in assurance services, consulting & advisory, and business advisory.

This role offers the chance to play a critical part in building operational excellence—supporting key administrative functions and gradually stepping into accounting-related responsibilities. You'll be working closely with a founder who values precision, initiative, and long-term partnership.

We are seeking forward-thinking Executive Assistant who will play a pivotal role in supporting daily operations by managing communications, triaging tasks, coordinating client workflow across systems (Outlook, TaxDome, Truss, and Trello), and ensuring that the client is free to focus on high-level tax strategy and client advisory work. This role is designed to alleviate operational bottlenecks by taking ownership of administrative responsibilities, allowing the client to focus on client service and high-level work.

Responsibilities

  • Monitor and manage the shared inbox, responding to client inquiries and routing requests appropriately.
  • Convert actionable emails into tasks using the team's project management or task-tracking tools.
  • Log new clients and projects into internal systems and initiate necessary workflows.
  • Create and organize tasks for non-standard work such as planning sessions or advisory projects.
  • Follow up with clients to collect required documents or respond to outstanding requests.
  • Schedule and coordinate client meetings using appropriate calendar tools.
  • Review project/task boards to archive completed work, update statuses, and flag stalled items.
  • Prepare draft communications using internal templates for team review and approval.
  • Audit active projects and jobs to ensure timely progress and escalate overdue items when necessary.
  • Maintain organization of internal systems, including inbox cleanup and archiving completed tasks.
  • Send out routine reminders, follow-ups, and payment notices using saved templates.
  • Track unpaid invoices and escalate unresolved billing issues to the appropriate team member.
  • Keep internal documentation, templates, and standard procedures up to date.

Requirements

  • Associate's or Bachelor's degree in Business Administration, Accounting, or a related field (preferred).
  • 2+ years of experience in an Executive Assistant support role.
  • Strong calendar and email management skills
  • Experience working with accounting professionals or in a tax/accounting firm (preferred).
  • Familiarity with QuickBooks Online, TaxDome, Microsoft Office/Google Workspace, and file management systems.
  • Detail-oriented and process-driven.
  • Excellent written and verbal communication skills.
  • Comfortable working remotely with minimal supervision.
  • Willingness to be cross-trained in basic accounting and bookkeeping tasks.
