Job Description

As a Corporate Secretarial Services Officer, you will oversee corporate secretarial functions and general administrative tasks, ensuring compliance with regulations while maintaining accurate records. You'll also coordinate with clients, manage ASIC requirements, and support smooth internal operations.

The Qualifications We Seek

Skills / Knowledge / Experience

  • Minimum of 1 year work experience in a similar role
  • Excellent communication, interpersonal, and stakeholder management skills
  • Demonstrated commitment to providing exceptional client service
  • Strong organization skills, excellent attention to detail, and ability to manage conflicting priorities and deadlines
  • Team player with a positive attitude and good work ethic
  • Proficiency in information technology applications and software
  • Ability to competently use Microsoft Word and Excel

Your Daily Tasks

Corporate Secretarial

  • Prepare ASIC ad-hoc changes including Business Name Administration, Officeholder Changes, Name Changes, Application for Voluntary Deregistration of a Company, Application for ASIC Reinstatement, ASIC Request for Correction
  • Maintain Shareholder registers including Allotment of Shares, Transfer of Shares, Cancellation of Shares, Share Redemptions, Share Buybacks, Subdivision of Shares, Conversion of Share Class, Return of Capital, Consolidations, Change of Beneficial Ownership
  • Prepare pre-incorporation and post-incorporation documents for Company Registrations
  • Prepare initial company set up in CAS360 including preparing ASIC Form 362
  • Liaise with ASIC as and when required
  • Manage all ASIC-related incoming mail
  • Process Annual Company Statements
  • Additional corporate secretarial tasks as required

General Administration

  • Process client invoices in Xero
  • Facilitate Xero subscription changes for clients and team members
  • Lodge income tax returns, including coordinate tax lodgment extensions
  • Manage audit insurance renewals and enquiries from internal and external stakeholders
  • File documents to the document management system, adhering to filing guidelines
  • Additional general administration tasks as required
