Position Overview
The Receptionist / Administrative Staff serves as the first point of contact for visitors and clients, ensuring a welcoming and professional experience. This role supports daily office operations through effective communication, organization, and administrative tasks. The ideal candidate is friendly, detail-oriented, and able to multitask in a fast-paced environment.
Key Responsibilities Front Desk Management
- Greet and assist visitors, clients, and employees in a courteous and professional manner.
- Answer, screen, and forward incoming calls; take messages when necessary.
- Manage visitor logs and maintain security protocols for guest access.
- Maintain a clean, organized, and welcoming reception area.
Administrative Support
- Handle incoming and outgoing mail, deliveries, and courier services.
- Prepare and manage documents, reports, and correspondence.
- Assist with scheduling meetings, appointments, and conference room bookings.
- Maintain office supplies inventory and coordinate with vendors for replenishment.
- Support HR and management with administrative tasks as needed.
Office Coordination
- Assist in organizing office events, meetings, and travel arrangements.
- Help maintain office equipment (printers, phones, etc.) and report maintenance needs.
- Ensure adherence to office policies and procedures.
QualificationsEducation & Experience
- High School Diploma or equivalent (Associate's or Bachelor's degree preferred).
- Minimum 1–2 years of experience in reception, administration, or related roles.
- Experience with office management tools and communication systems is an advantage.
Skills & Competencies
- Excellent verbal and written communication skills.
- Strong organizational and multitasking abilities.
- Proficiency in MS Office (Word, Excel, Outlook) or similar software.
- Professional appearance and positive attitude.
- Ability to handle confidential information with integrity.
