About us: Qualivets Veterinary Clinic is a trusted veterinary clinic dedicated to providing compassionate care for pets and excellent service to their owners. We are looking for a friendly, organized, and professional Receptionist to join our team and be the welcoming face of our clinic.

Job Summary

The Receptionist serves as the first point of contact for clients and their pets, ensuring a welcoming and professional environment at the clinic. This role manages appointments, client records, financial transactions, and inventory of reception supplies, while supporting veterinarians and staff in delivering excellent veterinary care. The Receptionist plays a key role in enhancing client satisfaction, ensuring smooth clinic operations, and promoting the clinic's mission of preventive care and wellness.

Key Responsibilities

A. Client & Patient Interaction

  1. Warmly welcome clients and their pets upon arrival, ensuring they feel comfortable and valued.

  2. Answer phone calls, emails, and inquiries in a professional, courteous, and timely manner.

  3. Educate and remind clients about vaccination and deworming schedules to ensure pets remain up to date.

  4. Perform upselling of clinic products and services when appropriate, promoting preventive care and wellness.

B. Appointment & Records Management

  1. Enter client appointments accurately in the Kreloses software.

  2. Verify that scheduled appointments align with clinic protocols.

  3. Cross-check procedures and treatments with billing to ensure accuracy.

  4. Monitor and regulate the daily flow of clients and patients to prevent overcrowding and delays.

  5. Confirm all appointments for the day to ensure smooth operations.

C. Dispensing & Inventory

  1. Dispense and verify prescription medicines as directed by veterinarians.

  2. Manage and maintain inventory of reception supplies such as forms, alcohol, and disinfectants.

  3. Participate in monthly inventory control and reconciliation alongside other staff.

D. Reception Area Management

  1. Maintain cleanliness, orderliness, and organization of the reception area at all times.

  2. Ensure all reception-related tasks are completed before leaving for the day.

  3. Regulate client flow to maintain comfort, order, and efficiency.

E. Financial Duties

  1. Handle payments and issue receipts for all transactions.

  2. Accurately remit daily cash sales at the end of shift.

  3. Immediately report any discrepancies in sales or collections to management.

F. Collaboration & Support

  1. Work closely with veterinarians, veterinary assistants, and other staff to ensure smooth clinic operations.

  2. Participate in team meetings, trainings, and improvement initiatives.

  3. Uphold and promote the clinic's mission of providing excellent veterinary care and client satisfaction.

  4. Perform other duties that may be assigned by the immediate supervisor or management as necessary to support clinic operations.

Qualifications:

  • Experience in customer service or receptionist (experience in veterinary/medical setting is a plus)
  • Ability to multi-task in a fast-paced environment
  • Computer Literacy (Ms Office)
  • Compassionate and patient with pets and their owners
