Job Overview
The Admin Assistant/Receptionist supports daily office operations and ensures smooth, professional interactions with employees, guests, and external partners. The role involves handling administrative tasks, managing communications, and assisting management to keep the office running efficiently.
Duties and Responsibilities
- Greet and assist visitors entering the office.
- Answer, screen, and route phone calls to the appropriate personnel.
- Take detailed minutes during meetings.
- Coordinate driver schedules and vehicle assignments.
- Assist in preparing regularly scheduled reports.
- Maintain office equipment by monitoring preventive maintenance, arranging repairs, and tracking inventories.
- Provide general administrative support to Executive Management and the O&M Administrator.
- Receive admin-related invoices and review accuracy before endorsing to Accounting.
- Perform other administrative duties as assigned.
Qualifications
- Graduate of BS in Business Administration or related fields.
- With at least 2 years of administrative or receptionist experience.
- Knowledgeable in office management systems and procedures.
- Proficient in MS Office applications.
- Able to adapt to shifting tasks and priorities.
