Job Summary:

The Secretary and Finance Assistant provides high-level administrative support to the Chief Financial Officer, ensuring the efficient operation of the CFO'S office. This role involves managing schedules, coordinating meetings, and handling confidential documents. The ideal candidate is highly organized, detail-oriented, and capable of handling multiple tasks in a fast-paced, confidential environment.

Key Result Area 1: Administrative support and communication and correspondence

Administrative Support

  • Manage and maintain CFO's calendar
  • Schedule and coordinate meetings and appointments
  • Organize travel arrangements and itineraries
  • Maintain organized filing systems (digital and physical)
  • Prepare and edit correspondence, reports, and presentations

Communication and Correspondence

  • Draft emails, letters and internal memos
  • Screen and manage phone calls, emails, and other communication
  • Maintain confidentiality of sensitive information

Key Result Area 2: Meeting support, document and file management, and office coordination

Meeting Support

  • Prepare meeting agendas
  • Record and distribute meeting minutes
  • Track follow-up actions and deadlines

Document and File Management

  • Maintain financial and administrative documents
  • Support documentation for board meeting and financial audits
  • Assist in preparing reports and data analysis (as needed)

Office Coordination

  • Coordinate with other executive assistants and departments
  • Order and maintain office supplies for CFO's office
  • Assist in organizing internal or external events

Job Specifications:

  • Bachelor's Degree (Preferred)
  • At least 6 months to 1 year of relevant administrative or executive assistant experience
  • Open for fresh graduate
  • Excellent written and verbal communication
  • Proficient in Microsoft Office (Excel, Word, PPT, Outlook)
  • Strong organizational and multitasking skills
  • Proactive and resourceful
  • Highly organized and detail-oriented
  • Adaptable and able to work under pressure
