Work Schedule: 6AM – 3PM PHT

We are looking for a highly organized and dependable Administrative Assistant to provide day-to-day support across our operations, sales, and marketing functions. This role is essential in ensuring smooth business processes by managing incoming requests, maintaining task workflows, and assisting in client engagement activities. 

Tasks and Responsibilities:
- Receive, log, and process client requests in task management systems (e.g., Trello).
- Track the progress of tasks, review outputs, and communicate completed work back to stakeholders.
- Maintain accurate documentation and perform structured data entry.
- Conduct quality checks on deliverables to ensure accuracy and consistency.
- Provide general administrative support to business operations as required.

Sales Team Support:

  • Support the sales team in client engagement through templated follow-up emails/messages.
  • Perform list cleaning activities (updating, maintaining, and managing contact lists of prospects).
  • Record all sales touchpoints in CRM systems (e.g., HubSpot).
  • Assist in monitoring sales prospects and ensuring timely communications are sent.

Marketing Team Support:

  • Execute data entry and content updates for marketing activities.
  • Assist in distributing marketing materials and communications using pre-defined templates.
  • Provide administrative support for marketing campaigns, including updating databases and tracking responses.
  • Support business support functions by performing recurring tasks (copy-paste, updating, and checking system records). 

Skills and Qualifications:
- Minimum of 3 years' experience in an administrative assistant, executive assistant, or similar support role.
- Excellent organizational skills and strong attention to detail.
- Ability to work independently and make routine decisions without constant supervision.
- Strong written communication skills and ability to follow structured templates and processes.
- Proficiency with Google Workspace (Gmail, Docs, Sheets, Drive).
- Comfortable learning and using collaboration and CRM tools such as Trello and HubSpot (training provided). 

Nice to have:

  • Previous experience supporting sales or marketing teams in an admin capacity.
  • Experience with CRM data entry, client record management, or sales follow-up.
  • Ability to adapt quickly to new systems and processes.
  • Strong problem-solving skills and initiative in streamlining tasks.
