NOW HIRING: INTERNATIONAL RECRUITMENT ADMIN

Schedule: Day Shift
We are seeking a highly organized and detail-oriented FM Admin to support our Facilities Management team. The successful candidate will be responsible for managing recruitment-related tasks, compliance requirements, and administrative functions essential to daily operations.
Key Responsibilities
1. Job Advertisement Management
- Manage active job advertisements across search engines and social media platforms.
- Share sourcing access with relevant team members.
- Post SEEK advertisements on a fortnightly basis.
- Publish weekly social media updates using approved templates.
2. Candidate Shortlisting and Screening
- Review and shortlist suitable candidates from various search platforms.
- Conduct phone screenings in accordance with approved scripts.
3. Administrative Support
- Provide Admin Assistants with job descriptions, qualifications, and pre-employment requirements.
- Collate and organize all required pre-employment documents.
4. Pre-employment Compliance
- Ensure candidates meet all compliance requirements prior to scheduling face-to-face interviews.
- Maintain an organized file management system on the T Drive with proper naming conventions.
5. Recruitment and Onboarding Coordination
- Conduct reference checks using approved scripts.
- Schedule face-to-face interviews and information sessions.
- Enter candidate information into the H&C Spreadsheet.
- Prepare and submit daily compliance reports.
- Create CVs for new starters based on provided candidate lists.
6. Site and Mobilization Requirements
- Facilitate site induction processes for FMG, Boddington, Rio Tinto, and BHP projects.
- Coordinate completion of site entry paperwork.
- Book mandatory 28-day laboratory drug and alcohol tests.
- Update the Mobilization Compliance Spreadsheet, manage JobAdder placements, send starter emails, and issue contracts.
7. Staff Communications and Aftercare
- Send weekly timesheet reminders to all active staff.
- Maintain the shared folder for email blasts.
- Conduct aftercare calls following a new starter's first swing, using provided scripts.
8. Script Provision
- Provide relevant scripts for recruitment, compliance, and communication tasks as required.
Qualifications
- Strong administrative and organizational skills.
- Experience in recruitment or compliance processes is an advantage.
- Excellent verbal and written communication skills.
- Ability to manage multiple deadlines in a fast-paced environment.
- Proficiency in spreadsheets and file management systems.
