Job Description

We are seeking an Multi-Site Administrative Assistant to provide comprehensive administrative and clerical support to a specific department or team. This role is fundamental to ensuring the smooth and efficient daily functioning of the office environment. The Assistant handles a wide range of essential administrative duties, including managing schedules, organizing documents, coordinating meetings, handling correspondence, and maintaining office supplies. They serve as the first point of contact for internal and external stakeholders, requiring excellent communication and interpersonal skills. Ultimately, the Administrative Support Assistant is essential for maximizing the productivity of the team they support, maintaining an organized environment, and ensuring that professional standards are consistently met.

Requirements

  • Bachelor's degree in Business Administration, Office Administration, or any related field
  • At least 1 (one) year of work experience
  • Internship or OJT experience in sales or customer support is a plus
  • Strong organizational and time management skills with excellent attention to detail
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint); familiarity with CRM systems is a plus
  • Strong written and verbal communication skills
  • Ability to multitask and work collaboratively in a fast-paced team environment

Key Responsibilities

  • Verify receipt accuracy for technician reimbursements and liquidations. Compute and create EWT for on-site purchases. Coordinate all cash advance, reimbursement, and liquidation concerns with Admin Staff.
  • Print sales invoices, submit daily sales reports to Invoicing, and consolidate all deposit slips, invoices, and CRs for submission to the AR Department.
  • Create and submit the PCV transmittal and Cash Advance summary to the Head Office. Update and process renewal of permits required by LGUs.
  • Generate DRs for scrap parts disposal. Coordinate all Purchase Order requests with the Procurement Department.
  • Ensure monthly dues are paid on time, coordinating logsheet transmittal with lessors. Attend meetings to discuss concerns and finalize technician schedules.
  • Perform clerical tasks and maintain constant communication with internal departments to swiftly resolve concerns.
